Contract Review AI with Contract Intake

Overview of Client and Contract Review Requests

Strengths of Client Intake and Contract Requests

  • Client Intake and Contract Request apps, such as Typeform, Microsoft Form, Formstack Forms, Google Forms, etc, provide teams with cloud based, encrypted intake systems that allow for contract review teams to work asynchronously through processes of contract requests, contract and client intake, or procurement.
  • Using preconfigured intake forms for contract intake and requests saves hundreds of man hours, creating "tickets" for legal teams.
  • By streamlining the request system, and especially combining with other applications and systems, a propagated benefit is that recordation for auditing and billing purposes has never been easier.

Improving with Contract Review AI

  • On intake, a reviewer is tasked with reviewing the document separately, while also dealing with the underlying system serving the request
  • Contract intake and requests still have to be stored, recorded, or manually added to a database or spreadsheet for recordation purposes, the actual intake or request has to be processed, tasks added to Project Management roadmaps, and the actual contracts sent to team members for review.
  • As contracts are then uploaded, revised, and returned, additional time is wasted as teams have to continue to populate the data fields for each additional Turn, Internal Comment, or external review.
  • The process becomes more complicated and disjointed as each additional Turn is added as more programs are used to track CLM.

Automation and DocJuris

  • Client and contract intake applications can be integrated with DocJuris through connectors like Zapier and Power Automate to easily automate several steps within a work flow using multiple applications or just DocJuris combined with the intake process.
  • Automation between the applications can recognize when a new client or contract request has been made, upload and analyze contracts, produce Screening Reports, attach the original contract and Screening Report to a predetermined file, then also add a line item in auditing or recordation spreadsheets.
  • Combining automations with DocJuris and other app Categories (like Project Management or email) can save hundreds of man-hours a month, and are scalable to meet the needs from a small team to a large global conglomerate.

Use Cases:

CLM use case

Use Case 1: A New Contract Request is Uploaded to a File Storage and Management App, and is Uploaded to DocJuris for Analysis Use Case #1

  1. When a contract review is requested or a new client intake form completed, the contract is uploaded to a predetermined cloud based file storage and management system.
  1. An automation can have it upload to DocJuris, where is is Analyzed and a Screening Report is generated.
  1. The Screening Report is attached and uploaded with the original contract back to the team's cloud account.
  1. By automating these two steps, turn around time is decreased as the contract review team has the most pertinent information from nascent state.

Use Case 2: A Request Form Has Been Successfully Filled Out and a Contract Is Uploaded to DocJuris Generating a Screening Report

  1. Teams utilize intake forms for contract requests.
  1. A filled out request can upload the relevant contract to DocJuris.
  1. The Contract Analyzer can generate a Screening Report.
  1. The form, contract, and report can be attached and emailed to the appropriate team member OR added to a Task or SubTask card within Project Management.

Use Case 3: A Contract Analysis Team Needs a Record of All Activity on a Contract to Better Deploy Resources and Track Billing

  • If a New Turn or New Contract is requested, it can be automatically downloaded from DocJuris, attached, and stored incmetadatata data and content.
  • If users are mentioned in Internal Comments, an additional automation can generate a row on a spreadsheet in a document management system that includes content and relevant metadata.
  • Time will be automatically tracked, allowing for the identification of bottlenecks and more accurate billing.
  • Additional automations can notify users, create tasks or subtasks in Project Management apps, attach all relevant documents, or notify through email apps.

CLM use case
  • By using Zapier to connect DocJuris to any of the integrated Apps, complex automation can save your team time and improve process workflow accuracy.
  • If It is all automated, human error decreases.

Use Case 1: A New Turn is Added: Team Members Need to be Notified, an Action Log Created, the Contract Analyzed and Attached

  • When a new contract is added to a cloud based team File Management and Storage App after a successful contract request, an automation triggers that it be uploaded into DocJuris.
  • The contract can then be analyzed, the Screening Report generated, and attached to email and/or the following automations along with any other relevant information, such as the original contract.
  • Automations can then connect to Project Management Apps and Task Management Apps to assign tasks or subtasks and attach copies of the original contract, Screening Report, and assigned to team members for efficient workflows and project roadmaps.
  • Notifications are sent to both phone and email.
  • Automations can also trigger pertinent information to be added to rows to a spreadsheet that act as a built-in recordation, audit, or case history log.
  • All of this can be done with very minimum structure organization and zero man-hours once automation is running.
  • Project managers can see exactly where the bottlenecks exist to best effectively manage resources maintaining goals and deadlines.
  • Billing or Accounts Payable Specialists have a record of time spent on each portion of the contract review.
